So in this new era of General Data Protection Regulation (GDPR) privacy policy updates it is important to explain how Sarah Deane Photographic fits in line with the current regulations.
Prior to 25th May 2018 pages of almost incompressible text have been flying around the internet in a frenzy. So whilst we all settle down and get our heads around the formal lingo I would like to try and illustrate informally my privacy policy in easy to understand language. A link to my formal Privacy Policy is below.
PRIVACY / DATA PROTECTION POLICY
I plan to continue with the way I have always conducted the protection of my client’s data; to treat those as I would want to be treated. Therefore with upmost respect. I have both public clients and business to business client relationships. I have no databases of past clients in digital format and for any future correspondence with any of my past clients I would individually email my main contact by replying to a previous email. So no junk mail or inappropriate contact will come from me.
Family portrait clients will have a handwritten card for their appointment with personal data. This is then filed in my studio and kept securely under lock and key for the purpose of matching previous appointment cards with retuning clients. The data is never shared with a third party or used for my marketing purposes.
My Online Gallery Suppliers- Smugmug
For most of my clients I upload secure password protected links to my website that take you to a server supplier who host my online galleries. They are called Smugmug and have their own privacy policy and can be ready on the below link;

My Smugmug domain has SSL encryption which gives greater security. There are no cookies associated with these online galleries.
Photo face recognition
So this is slightly a grey area in terms of the ISO guidelines as there is no specific photographic rules. However if a photo contains a recognisable face it does come under the ‘personal data’ category. I have always asked my clients for their permission to use their imagery on my website and therefore only have images that have been OK’d by my cleints on my public galleries and printed materials. However my clients have the right to change their mind and if they feel my public imagery of themselves or their colleagues, friends or family should be removed a quick phone call on 07960 338357 or email to me though my website contact form will resolve this. I will remove immediately.
For my commercial client relationships, this sometimes involves being given a third parties details, for example a name and address of an individual to be photographed for a press release from a PR contact. Once this personal data is in my owner ship it is printed usually from email, kept confidential in a closed file with my camera kit and once the shoot is complete it is then shredded and disposed of.
If you are concerned about the data that I may have at my studio then please get in touch with me though my contact form on my About page or call me on 07960 338357.
